Job Summary: The Manager – Executive Administration & Facilities is responsible for the management and coordination of facilities functions and administrative functions relating to the Chief Maintenance Officer. Duties/Responsibilities:

Provides high-level administrative support to the Chief Maintenance Officer which includes managing calendars, communications, meetings, travel, and projects.

Coordinates with external vendors, contractors, and service providers for facility-related projects and services.

Oversees the day-to-day operations of the Hirschbach Café and food line.

Oversees financial management of the Hirschbach Café and food line; including managing the budget, implementing cost savings measure, analyzing sale trends, and inventory management efficiency.

Services as a primary point of contact for overseeing maintenance, repairs, and renovations to ensure they meet safety and operational standards.

Inspects supplies, equipment, and work areas to ensure efficient service and conformance to standards.

Performs people centered activities including assigning duties and responsibilities to team members, participates in hiring, providing employee orientation and training, and conducting supervisory activities such as coaching, mentoring, reviewing work schedules, leading meetings, and verifying employee time sheets.

Observes and evaluates team members and work procedures to ensure quality standards and service.

Analyzes operational problems and establishes procedures to alleviate these problems.

Purchases supplies and equipment needed to ensure quality and timely delivery of services.

Develops departmental objectives, budgets, policies, procedures, and strategies.

Handles confidential information with discretion and professionalism.

Other duties as assigned including proactively assisting others in achieving the organization’s objectives.

Talent Requirements

Associate’s Degree or Bachelor’s Degree in a related field is preferred.

High school diploma or equivalent in education is required.

Demonstrated experience supporting executive level leadership.

Two to three years of relevant professional experience is required.

Ability to process information with high levels of accuracy and energy.

Computer proficiency and ability to navigate between multiple programs.

Demonstrates an “All In To Win” attitude and displays self-motivation and a strong desire to learn within an unpredictable and demanding environment.
