Business Operations Assistant

Our client, an investment firm in Boston, is seeking a temporary Business Operations Assistant to join their team for 2 months. This role would assist the Business Operations Team with day-to-day office administration tasks. This role compensates $20/hr and the hours are 9:00-6:00 Monday-Friday. Qualified candidates are encouraged to apply!ResponsibilitiesManage the front desk and reception area. Answer the main phone line, greet guests and coordinate incoming and outgoing mailManage calendars for the conference rooms and resolve any scheduling conflictsPrepare conference rooms and logistics for external and internal meetings, including managing catering, ensuring meeting rooms are "client ready", preparing any audio-visual needs by sending calendar invites with dial-in details for virtual meetings as neededCoordinate with the building's security to ensure all guests are registeredEnsure the office common areas are neat and professional looking, including emptying the dishwasher, cleaning out and restocking the refrigerators, cleaning the microwave oven and keeping the supply area organized and cleanOrder groceries and office supplies and pack away orders after they are receivedAssist team members with administrative tasks, such as booking conference rooms and binding documents for meetings with clients, prospective clients, and other external individualsQualificationsVery strong organizational and administrative skills in a fast-paced environmentAbility to manage multiple tasks at onceExcellent attention to detailHigh degree of professionalism and interpersonal skillsHigh proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)Comfortable working with databases and entering data with a high degree of accuracyStrong customer service skills including professional telephone etiquetteTeam player who is willing to do whatever it takes to contribute to the success of the businessBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
