Administrative Assistant/ Procurement Specialist

Description We are offering a contract to hire employment opportunity for a detail-oriented Administrative Assistant in Albany, New York. This role involves assisting with administrative duties in a busy office environment, with a focus on procurement and data entry. The successful candidate will be an integral part of the team, ensuring the smooth operation of our office.Responsibilities: Manage incoming phone calls and greet visitors, ensuring a professional and welcoming office environment. Support business development by setting up conference calls and meetings. Oversee the ordering of office supplies and maintain the supply room. Manage both incoming and outgoing mail, including UPS deliveries. Support document control functions, including the printing of job books and full-size drawing sets. Assist office staff with IT issues, acting as a facilitator to resolve problems. Maintain the company-wide phone list/directory and manage company-wide email communication. Create the semi-monthly payroll master sheet for review. Support procurement processes by preparing purchase orders and tracking their progress. Work closely with the Engineering and Project Management teams to ensure timely delivery of materials and correction of purchase order mistakes. Maintain a database of approved subcontractors and vendors. Assist in the preparation of O& M Manuals for project close-out. Skills: Administrative Assistance Procurement Microsoft Office Suites Data Entry Requirements Minimum of 2 years experience working in an administrative assistant role or similar Proficiency in Microsoft Office Suites, including Word, Excel, PowerPoint, and Outlook Proven experience in administrative assistance tasks such as organizing schedules, managing correspondence, and maintaining office systems Experience in procurement activities such as purchasing supplies and managing vendor relationships Demonstrable skills in data entry with high attention to detail and accuracy Excellent written and verbal communication skills Ability to prioritize tasks and manage time effectively Strong problem-solving skills and the ability to make decisions under pressure Demonstrable ability to maintain confidentiality and handle sensitive information with discretion.
