Hours are PRN only between 11AM and 3PM EST.General SummaryProcessing all incoming and outgoing mail, and related mail activities, in addition to various clerical duties as data entry at main desk in volunteer services, written communication and correspondence as Front Desk receptionist duties (Cross trained position).Duties and ResponsibilitiesEssential Functions:

Completes required reports (e.g. PI Dash Boards, benchmarks, etc.) on time.

Insures that 100% of all employees have current licenses, completed yearly health checks, CPR, orientation or re-orientation, where applicable.

Completes 100% of employee evaluations on time, in a thoughtful and constructive manner. For non-bargaining employees, follows established guidelines for recommended increases.

Displays ability and skill in budget development, monitoring, and remaining within budgetary limits. Flexes costs downward when necessary, especially when scheduling and monitoring hours worked.

Evaluates operations from a workflow perspective and responds appropriately, redesigns per customer needs and competitive benchmarks.

Demonstrates responsibility for proper postage rates.

Willingness to help others without being asked.

Maintains a high standard in scheduling volunteers, error-free scheduling.

Coordinates time off with Director to assure office coverage.

Maintains a high productivity level in mail center and front desk duties with accuracy.

Reports quarterly in a timely manner, all goals and achievements accomplished.

In the absence of the administrative secretary, covers front desk in Volunteer Services, as needed.

Assists with filing and copy work.

Adapts to changes in workload and schedule by performing other duties as assigned.

Demonstrates computer skills to facilitate written communications, files, and other reporting functions.

Coordinates and schedules appointments and interviews for the Director.

Administers policy and procedure when enrolling new volunteers starting service.

Prepares work orders and purchase requisitions for volunteer services and mail center as requested and needed.

Ensures prompt delivery of urgent mail items.

Assists the Chambersburg Hospital Auxiliary as required.

Mentors and trains new employees and volunteers.

Responsible for other related office/clerical duties.

Responsible for all supplies, equipment, equipment maintenance, and postal service fees, etc.

Completes other special projects for volunteer services and mail center, as requested.

Responsible for all mailing processes and procedures, complete coverage of this department.

Ensures prompt delivery of perishable incoming mail, and urgent mail.

Performs safely in opening questionable mail and follows suspicious mail procedures.

Responsible for identifying, receiving, sorting, checking and distributing mail.

Maintains records, prepares reports with emphasis on accuracy.

Prepares volume mailings by operation of postal equipment, supports cost control measures by presorting and batching outgoing mail etc., for discounted postage.

Processes all outgoing mail on a daily basis - Monday through Friday.

Distributes all priority mail on day it is received, able to sort mail from necessary to junk and follow through accordingly.

Accesses Pitney Bowes web site for reports and accounting on line.

Completes a performance report quarterly.

Accesses US Postal Service website.
